The scope, purpose, and retention policy for the personal data AIO processes, and the ethical standards that governance participants are expected to follow.
Information We Collect
AIO collects and uses the following information.
- When signing the vision — name, affiliation, title, email, and LinkedIn URL (optional).
- When making an inquiry — name, affiliation, email, and the content of the inquiry.
- When participating in quarterly consensus meetings — the above information plus participation-rights data (observer / speaking / voting).
- When accessing the website — anonymous traffic statistics (page views, region, time of visit). We do not collect information that identifies individual users.
How We Use Personal Data
- Managing the list of vision signatories and granting public RFC review rights
- Sending quarterly consensus meeting notices, newsletters, and official announcements
- Standard-adoption statistics and governance reporting
- Fulfilling legal obligations (accounting, auditing, and regulatory compliance)
Personal data is used only for the purposes above and is never sold, rented, or shared with third parties. Where information is listed publicly, we obtain separate consent.
Retention Period and Disposal
- Signature and participation data — for the duration of activity plus 5 years, after which it is anonymized or destroyed.
- Inquiry records — 2 years after closure, after which they are destroyed.
- Web traffic statistics — after 13 months only aggregate figures are retained, and the raw data is discarded.
- Where a retention period required by law is longer than the periods above, that legal period applies.
Rights of the Data Subject
- Requesting access to, correction of, or deletion of your personal data
- Suspending processing and withdrawing consent
- Requesting data portability
Please send requests to secretariat@aioq.org. We respond within 30 days. We comply with the GDPR, applicable personal-information protection acts, and other applicable data-protection laws.
Ethical Standards for Governance Participants
This charter defines the ethical standards that individuals and organizations participating in AIO governance and decision-making must uphold. It applies to staff, committees, the board, advisors, reviewers, and core contributors.
Transparency
Major decisions are documented in the public record, stating the rationale and the outcome of votes for and against.
Fairness
We provide every participant with equal opportunity to speak and to review, and we minimize bias.
Accountability
We clearly designate those responsible for decisions and their execution, and we report on outcomes.
Integrity
We prohibit the pursuit of private gain and maintain honest, fact-based communication.
Inclusiveness
We respect diverse perspectives and the rights of minorities and vulnerable groups.
Legal Compliance
We comply with the laws and regulations of the relevant countries and regions, as well as our contractual obligations.
Managing Conflicts of Interest
- Potential and actual conflicts of interest must be disclosed in advance.
- Where a conflict of interest is identified, the person recuses themselves from the related discussion and vote.
- The nature of a conflict of interest and how it was handled are documented in the public record.
- Willful failure to disclose is grounds for sanctions such as a warning, restriction of role, or removal.
Procedure for Violations and Review of the Charter
Alleged ethics violations undergo an initial review by the audit officer, who launches an independent investigation where necessary. The person under investigation is given an opportunity to respond, and a right of appeal is guaranteed.
This charter is reviewed at least once a year. Amendments are adopted following public review.
